Conditions of use

Terms and Conditions for Participation in Events Organised by DECHEMA e.V.

General Conditions

Provision of Services
DECHEMA Gesellschaft für Chemische Technik und Biotechnologie e.V. (hereinafter referred to as DECHEMA) shall provide the services of which the nature and scope can be found in the conference specifications. Should exceptional circumstances occur, DECHEMA reserves the right to change speakers and the schedule of a programme.

Installation of the iLinc Client Application for access to the online meeting and lecture rooms
Use of the online meeting rooms necessitates the installation of the Client software application (approx. 1 MB) provided by iLinc. By registering, the participant undertakes to install the Client immediately and, having installed it successfully, to check whether he/she can enter the products2come (hereinafter referred to as p2c) demo meeting room. In the event of any technical problems with the installation, the participant / system administrator should at once contact Martin Holl, cme24 Ltd, Karlsruhe, Germany (p2c@cme24.de, phone: +49(0)721 95 95 910).
One week before the event the participant will be requested to recheck whether the Client works on his/her computer. Successful test registrations in the p2c demo meeting room will be recorded by DECHEMA. Should the participant fail to observe the request to recheck the proper functioning of the Client on his/her computer, the participant shall have no right of recourse if, due to technical reasons, he/she cannot participate in the pre-arranged online meetings.
From 20 March 2015, due to time constraints cme24 will no longer be able to provide support in installing the Client on the participant’s computer.

Bookings
Conferences must be booked via the online form provided by DECHEMA. Each booking becomes legally binding upon receipt and upon DECHEMA's written confirmation. Once the booking has been processed, the participant is sent confirmation and an invoice by e-mail.

Payment
Attendance fees must be paid at the time of online registration, either by credit card (MasterCard, Visa, Amex or Diners) or by a direct bank transfer. Online bookings are made on an encrypted page so that no unauthorised party can access your data. Once payment has been received, you will be sent written confirmation and an invoice (noting receipt of funds) for your records.
The fee for products2come covers participation in the online partnering and the technology transfer lectures. Once the fee has been paid, contributions can be submitted for the technology transfer lectures. The participation fee is payable independent of whether a submitted contribution is accepted by the selection committee or not. Non-acceptance of a contribution does not entitle to a refund of the participation fee.

Cancellations
For cancellations received by January 31, 2015, the attendance fee will be reimbursed less an administrative fee of € 30. For cancellations received after this date, the attendance fee is non-refundable.
Cancellations can only be accepted in writing (i.e. by fax, surface mail or e-mail). The effective cancellation date is the date of receipt. If a sponsor does not attend the conference or leaves before the end, the full fee remains payable unless the sponsor provides written proof in a specific instance that the loss or expenses are lower.
If a participant does not attend the conference or leaves before the end, the full attendance fee remains payable.
If the conference is cancelled by DECHEMA, any fees that have been paid will be reimbursed in full.
Participants have no right of further recourse against the organizer.

Sponsorships:
Cancellations up to 3 months before the conference are subject to an administrative fee of 20% of the package price. If cancellation is made at a later date, the sponsor is charged 100% of the fee. Cancellations are only accepted in writing (i.e. by fax, surface mail or e-mail). The relevant cancellation date is the date of receipt. If a sponsor does not come to the conference or leaves before its end, the full fee remains payable unless the sponsor provides written proof in a specific instance that the loss or expenses are lower.

Substitute participants
We would be pleased to accept a substitute participant appointed by you. The substitute participant needs to be appointed by you in writing, this is free of charge. Any differences between attendance fees are either charged or credited to the participant.

Conference documents
Each participant can download the relevant conference documents after logging in at the products2come platform. The rights to the conference documents are held exclusively by DECHEMA. Any further use of the documents requires written approval from DECHEMA.

Sponsorships
If sponsorship opportunities are offered, they will be processed in the order in which bookings are received.

Different dates or terms and conditions
If terms and conditions for a given conference differ from those specified here with regard to booking deadlines, payments or cancellation fees, they shall be specified in a supplement to the relevant booking and information documents.

Copyright
Any event documents that are handed out are protected by DECHEMA e.V. copyright and are only intended for personal use. No permission is given for the reproduction, dissemination, processing or public presentation of any kind. Such permission must be requested and obtained from DECHEMA in writing prior to the event. Nor are participants permitted to make sound or video recordings of the event.
DECHEMA is entitled to document its events by producing video and sound recordings of all kinds, to disseminate or publish all photographic, video and film recordings as well as any technical reproductions arising from the contractual relationship, which DECHEMA may do for its own promotional or editorial purposes, without geographical or material restrictions and without any restrictions in time.
Such images do not relate to specific individuals but reflect the character of the events, although individuals may be recognizable as participants of the event.
By registering for the event, the participant gives his/her assurance that he/she is aware of this circumstance and that he/she expressly consents to such photos, videos and other images to be created and published. If a participant is not in agreement with this, then he/she must tell the authorized photographer on site, during the event.

Submission of contributions (data protection, secrecy, patent protection)
products2come offers participants the possibility to present new inventions, technologies, and patent and license offers in the form of a 10-minute online lecture. DECHEMA will provide participants with the necessary form for the selection procedure. Lecture selection will be carried out by three Commercial Committees (Therapeutics, Diagnostics, Medical Technology).
Before submitting the form, participants should ensure that, insofar as the invention, technology or process is not yet covered by a patent or a utility patent, it contains no information that could be prejudicial to patent filing. If, despite this warning, that should be the case and the submitted lecture is selected by the Committee, there is no basis for any claims on the part of the participant against DECHEMA should the filing of a patent no longer be possible after the public presentation of the invention / technology / process.
All members of the Commercial Committees are bound to secrecy. No information submitted by a participant may be used by the committee members commercially or passed on to third parties not bound to secrecy without written agreement of the participant concerned.

Privacy
DECHEMA collects and processes your data for its own business purposes. DECHEMA may use external services for the technical implementation of data processing. If you do not wish to receive further information from us in the future, you can revoke the usage of your data at any time.
In such a case, please utilize the e-mail address bdsb@dechema.de and mention the information about the booked conference.
